This Privacy Policy explains how PoweredQuip ("Company," "we," "our," or "us") collects, uses, and protects personal information when you use our website, mobile applications, and CRM platform (collectively, the "Services").
By accessing or using the Services, you agree to the practices described in this Privacy Policy.
1. Information We Collect
A. Account Information
We collect information when you create or update an account:
- Name
- Email address
- Phone number
- Business name
- Password or authentication credentials
- Billing details (processed via Stripe — we never store credit card numbers)
B. Payment Information
Payments are processed through Stripe.
We do not collect or store credit card numbers.
Stripe stores and processes payment information under its own Privacy Policy.
C. Usage Data
We automatically collect information such as:
- Login activity
- Features used
- Interaction logs
- Crash reports
- IP address
- Device/browser information
- Cookies or similar technologies
D. Location Data
With your permission, our mobile applications may collect:
- GPS-level precise location
- Approximate location from IP
Used for job routing, mapping, and visit verification.
E. CRM Customer Data (Your Business Data)
You upload and store customer data within PoweredQuip. Examples include:
- Customer names and contact information
- Addresses
- Photos (e.g., before/after job images)
- Job notes and descriptions
- Quotes, invoices, and payment tracking
- Scheduling and project history
You own this data. We only process it to provide the Services.
2. How We Use Information
We use information to:
- Provide and improve the Services
- Manage accounts
- Process payments
- Enable CRM features
- Send confirmations, reminders, and transactional messages
- Respond to support inquiries
- Analyze usage and platform performance
- Prevent fraud or abuse
- Communicate updates or changes
- Comply with legal obligations
We do not sell personal data.
3. Third-Party Service Providers
We use service providers that may process data on our behalf, including:
- Stripe – payments
- AWS / Render / Vercel – backend, hosting, database, authentication
- Framer – marketing site hosting
- Mailgun – transactional email delivery
- OpenAI, Anthropic – AI-assisted features
- Twilio – SMS messaging
- SignNow – digital signatures
All providers are contractually required to use data only to provide their services to us.
4. AI Features and Data Processing
PoweredQuip includes AI assistant features powered by third-party large language model (LLM) providers, including OpenAI and Anthropic.
To respond to your queries and perform actions within the app, the AI may process business data including customer names, contact information, addresses, job history, quotes, and invoices. This data is transmitted to the AI provider only to fulfill the specific request.
Your data is not used to train AI models by either of these providers.
You can limit AI data processing by choosing not to use AI features for sensitive data. For questions about how AI features handle your data, contact support@poweredquip.com.
5. Sharing of Information
We do not sell your information. We may share data only:
- With service providers listed above
- To comply with law, legal process, or government requests
- To investigate or prevent security issues
- To protect the rights or safety of users or the company
- In a merger, acquisition, or sale of assets (with notice)
We never share your CRM customer data with other businesses using the platform.
6. Data Ownership & Control
You retain ownership of all CRM data you upload.
We may access this data only to:
- Provide support
- Ensure functionality
- Comply with legal obligations
- Improve or maintain the system
You may request export or deletion of your data at any time.
7. Data Retention
We retain data:
- While your account is active
- As required to provide the Services
- As necessary for legal obligations (tax, accounting, fraud prevention)
You may request deletion unless we are legally required to retain certain information.
8. Security
We use commercially reasonable security measures such as:
- Encrypted connections (HTTPS/TLS) for all data in transit
- Payment data tokenized and stored by Stripe — we never store card numbers
- Secured cloud infrastructure with access controls
- Monitoring and audits
No system is 100% secure, but we follow industry best practices.
9. Your Privacy Rights
Depending on your jurisdiction, you may have rights to:
- Access your data
- Correct your data
- Delete your data
- Export your data
- Opt out of certain processing
- Withdraw consent for location services
You can export your data or delete your account at any time from Settings → Account & Privacy. Account deletion takes effect immediately and your data is permanently purged 30 days later. For other requests, contact us.
10. Children's Privacy & Teen Users
A. Under 13
Our Services are not intended for children under 13, and we do not knowingly collect personal information from children under 13.
If we become aware that data was collected from a child under 13, we will delete it promptly.
B. Teen Users (Ages 13–17)
Teens may access the Services only under the supervision of an adult account owner (e.g., a landscaping business owner/employer).
The adult account owner is responsible for:
- Adding teen users
- Monitoring activity
- Ensuring compliance with our Terms
Teens cannot independently create an account.
11. Changes to This Policy
We may update this Privacy Policy from time to time.
If changes are material, we will notify users via:
- In-app notice
- Updated "Last Updated" date above
